All About: Signal Email

Note: In-app Email is a feature of Signal by EverTrue. If you have questions about Signal, please reach out to your Customer Success Manager (CSM).


What is Signal Email?

Signal Email enables you to send constituent outreach from your work email account directly within the Signal platform, saving you precious time! This feature closely mirrors the experience of sending emails from your email provider, offering several formatting options to ensure messages look familiar to what you’re already used to sending. 

With Signal Email, you can compose outreach messages from scratch or create and use templates saved to your Email Template Library. This feature can be accessed from three locations in the platform:

  1. A constituent profile   
  2. The Cadences tab 
  3. The Tasks tab

Below, we will review how to connect your email in EverTrue and how to send an email from a constituent profile. Check out our cadence and task outreach resources to learn how to use Signal Email from those locations.


Connecting Your Email

To use Signal Email, you need to connect and authenticate your email account in EverTrue. You can connect with two email service providers:

  1. Google
  2. Microsoft

Let’s dive into how you can make this connection! 

Step 1. Navigate to Your Email Settings

Open your User Menu dropdown in the top-right corner of EverTrue and select Settings. Then, choose the Email settings tab and click on Connect.

Note: Outside of your Email settings tab, you can authenticate your email by opening a cadence email step, an email task type, or clicking the Email (envelope) button in a constituent profile and following the connection prompts. 

Step 2. Follow the Email Authentication Prompts

Log into your EverTrue account via either Google or Microsoft to begin the authentication process. Select the appropriate account, and click Allow when prompted to allow EverTrue to send email on your behalf. Doing so ensures that you will be able to send email from your address directly in EverTrue.

Note: If your organization has safeguards in place that prevent external apps from accessing your data, you might encounter a “Need Admin Approval” message when attempting to authenticate your email. In this case, the authentication request has been sent to your email administrator. We recommend following up with them for next steps. 

After granting this access, you will be redirected back to your Email settings tab where you can see confirmation that your account has been successfully connected! 

Step 3. Reconnect Your Account When Necessary

For security reasons, we will automatically disconnect your email account after 31 days. To reconnect and regain access to email outreach functionality, simply follow the same steps outlined above!


Sending an Email from a Constituent Profile

Step 1. Click Email in a Constituent Profile

Now that your email account is connected to EverTrue, you can start your in-app outreach! Open a constituent profile and click the Email (envelope) button in the upper-right corner. 

Step 2. Compose Email and Send

An empty email composer will appear in the bottom-right corner of the profile. If the constituent’s primary email address is imported into EverTrue, it will automatically populate in the To field. However, you can remove it and input a different address if needed. You can also carbon copy or blind carbon copy other recipients by clicking Cc or Bcc.

Next, add a subject line, and either type the email body or insert a template from your library using the template button in the bottom-left of the composer. You can use the formatting buttons at the top of the composer to adjust things like text size and alignment, and the pen button at the bottom to add or edit your signature. If you need to add attachments to your email, click the paperclip button at the bottom-left. When you’re ready, hit Send

Note: Email attachments have a size limit of 25MB. 

Once sent, a confirmation message will appear in the upper-right corner. A copy of the delivered email can be found in the Sent or Sent Items folder of your email provider.

Note: When crafting a message for your prospect, consider using EverTrue’s AI-Generated Email feature to help!  

Step 2a. Add Dynamic Fields

Dynamic fields let you personalize your emails by automatically adding specific constituent details, saving you time and effort. You can insert these fields in two ways:

  1. Email Composer Toolbar: Click the Dynamic Fields button at the far right of the email composer toolbar and select from a list of available fields. These include:
    • First Name
    • Last Name 
    • Primary Phone
    • Primary Email
    • Your Name (that’s you!). 
  2. Manual Entry: Type double curly brackets (i.e., {{ ) directly into your email body to pull the same list of available fields without using the toolbar.  

If the dynamic field’s data is unavailable for a recipient (e.g., no primary phone number is listed for the constituent, or you added a dynamic field that is not currently supported), a Review Missing Information popup will appear. This gives you an opportunity to:

  • Review: Edit the email to add missing details or remove the unsupported field.
  • Send Anyway: Send the email without resolving unsupported fields. The recipient will see the field name (e.g., {Company Name}) instead of the respective details.

Note: Dynamic fields can also be added to your email templates to save even more time!

Step 3. Add an Interaction 

After sending the email, an Add Interaction form tied to the constituent will appear with some fields already populated:

  • Date: Defaults to the current date. 
  • Solicitors: Defaults to the user who sent the email. 
  • Summary: Defaults to the email’s subject line if one was included. If not, the summary defaults to “Sent Email to [Constituent’s Name].”
  • Description: Defaults to the body of the email.

You can edit any of the form’s fields and fill in missing details as needed. Click Save to finish adding the interaction! If you prefer not to add an interaction for the email, click Skip instead.
