All About: Signal Email

Note: In-app Email is a feature of Signal by EverTrue. If you have questions about Signal, please reach out to your Customer Success Manager (CSM).


What is Signal Email?

Signal Email lets you send constituent outreach from your work email account directly within the Signal platform, saving you precious time! This feature closely mirrors the experience of sending emails from your email provider, with familiar formatting options to help your messages feel consistent and polished.

You can write messages from scratch or create and use templates saved in your Email Template Library. You’ll find Signal Email in three places:

  1. A constituent profile   
  2. The Cadences tab 
  3. The Tasks tab 

Below, we walk through how to connect your email in EverTrue and send a message from a constituent profile. Check out our cadence and task outreach resources to learn how to use Signal Email from those locations.


Connecting Your Email

To use Signal Email, you’ll first need to connect and authenticate your email account in EverTrue. We support two email providers:

  1. Google
  2. Microsoft

Let’s dive into how you can make this connection! 

Step 1. Navigate to Your Outreach Settings

Open your User Menu dropdown in the top-right corner of EverTrue and select Settings. Then, choose the Outreach settings tab. Click Connect under Email Outreach Account

💡 Note: Outside of your Outreach settings tab, you can authenticate your email by opening a cadence email step, an email task type, or clicking the Email (envelope) button in a constituent profile and following the connection prompts. 

Step 2. Follow the Email Authentication Prompts

Log in with your Google or Microsoft account. When prompted, click Allow to grant EverTrue permission to send email on your behalf. This allows you to send messages using your own address directly in EverTrue.

💡 Note: If you see a “Need Admin Approval” message, your organization may have safeguards in place that prevent external apps from accessing your data. In this case, your request has been sent to your email administrator. We recommend following up with them for next steps. 

After you approve access, EverTrue will return you to the Outreach settings tab where you can see confirmation of your account connection! 

Step 3. Reconnect Periodically

For security reasons, we automatically disconnect your email account every 31 days. To reconnect, follow the same steps outlined above! 


Sending an Email from a Constituent Profile

Step 1. Open an Email Composer

Once your account is connected, you can begin in-app outreach! Open a constituent profile and click the Email button in the upper-right corner. 

Step 2. Compose Email and Send

An email composer will appear in the bottom-right corner. Here, you can access the following features: 

  • Add email recipients: If the constituent’s primary email address is imported into EverTrue, it automatically populates the To field. You can replace it if needed, or add additional recipients using the Cc and Bcc fields.
  • Compose email subject and body: Add a subject line and write your message. You can type freely, insert dynamic fields, or insert a saved template. Use the toolbar at the top to adjust formatting.
  • Access email templates: Click the Template button (bottom-left corner) to insert a pre-written message saved in your Email Template Library
  • Add your email signature: Click the Pen button (bottom-left corner) to edit or add your signature. Your most recent signature will be saved and automatically included in future messages unless changed. 
  • Attach files and images: Use the Paperclip button to upload files or images. Images can also be pasted directly into the message body vs added as an attachment. Email attachments must be 25MB or smaller. 
  • Insert a Signal Video: Click the Video button in the bottom-right to upload or record a Signal Video, or select one from your Video Library to include in your message.   

When you’re ready, click Send. A confirmation banner will appear in the top-right corner. The email will also appear in your email provider’s Sent or Sent Items folder.

Add Dynamic Fields

Dynamic fields personalize your emails by automatically adding specific recipient or sender details. To add them, click the Dynamic Fields dropdown at the right of the composer toolbar and choose from:

  • First Name 
  • Last Name 
  • Primary Phone 
  • Primary Email 
  • Your Name (that’s you!). 

If EverTrue detects a missing value (e.g., no primary phone number is listed for the constituent), you’ll see a Review Missing Information popup when you attempt to send the email. This gives you an opportunity to:

  • Review: Edit the email to add missing details or remove the unsupported field.
  • Send Anyway: Send the email without resolving unsupported fields. The recipient will see the field name (e.g., {Company Name}) instead of the respective details.

💡 Note: You can also include dynamic fields in email templates!

Use the Email Toolbar

The email composer toolbar includes a variety of tools to help you format and customize your message. Here’s what you’ll find:

  • Undo/Redo: Quickly revert or reapply recent changes.
  • Font family and size: Choose from supported fonts like Arial, Courier New, Georgia, Lucinda Sans Unicode, Tahoma, Times New Roman, Trebuchet MS, Helvetica, Impact, and Verdana.
  • Bold, Italic, Underline, and Strikethrough: Emphasize key parts of your message.  
  • Text and background: Apply color to your messages to highlight important information.
  • Text alignment: Align your message left, center, right, or justified.
  • Bulleted and numbered lists: Organize content for clarity.
  • Dynamic fields: Insert personalized details pulled from constituent data. Learn more about dynamic fields
  • Indentation controls: Increase or decrease paragraph indenting. 
  • Insert hyperlink: Add clickable links to external sites.
  • Insert image: Upload and imbed an inline image directly in your message.
  • Spellcheck: Enabled by default to catch typos as you write.
  • Clear formatting: Remove styling and return text to default formatting. 
  • Select all: Highlight your entire message for broad edits or copying.

💡 Note: Some options are located behind a three-dot menu at the end of the toolbar. 

Step 3. Add an Interaction 

After sending the email, an Add Interaction form tied to the constituent appears with some fields already populated:

  • Date: Defaults to the current date. 
  • Solicitors: Defaults to the user who sent the email. 
  • Summary: Defaults to the email’s subject line if one was included. If not, the summary defaults to “Sent Email to [Constituent’s Name].”
  • Description: Defaults to the email body. If you included a Signal Video, this field also contains a link to the video’s landing page.

Edit any fields and fill in missing details as needed. Click Save to add the interaction, or click Skip If you prefer not to log it.
