Scheduling Emails in Signal

Note: In-app outreach is a feature of Signal by EverTrue. If you have questions about Signal, please reach out to your Customer Success Manager (CSM).


With Signal Email, you can schedule your outreach in advance by choosing a specific date and time you want your message to deliver. Below, we will review how to schedule an email to send later, modify a scheduled message, and remove scheduled outreach you no longer need to send. Let’s dive in!

💡 Note: To schedule email sends, your email provider must be connected to EverTrue.


Scheduling an Email

Step 1. Open an Email Composer

To schedule an email, open an email composer from any location where you can conduct outreach in Signal:

Step 2. Compose Your Message and Click Schedule

Add your recipients and write your message. Use the toolbar at the top of the composer to format text, adjust alignment, and insert dynamic fields.

Once your message is ready, click the dropdown arrow next to the Send button to access scheduling options.

💡 Note: Your email must include at least one recipient before you can schedule it to send later. 

Step 3. Set Your Schedule

You can choose from three Schedule Email options:

  1. Tomorrow Morning (8:00 AM)
  2. Tomorrow Afternoon (1:00 PM)
  3. Custom Date & Time 

💡 Note: Scheduled email times are based on your current time zone.

If you choose to set a custom time, a Schedule Email popup will appear where you can choose a specific date and time to send your message. Time options are offered in 30-minute increments. Click Schedule Send to confirm and schedule your email.  

💡 Note: After scheduling the email, an Add Interaction form tied to the constituent will appear with some fields automatically populated. You can proactively add the interaction, even if the email is set to send later, or add an interaction after the email sends. 

Step 4. Review Scheduled Emails

Once scheduled, emails appear on the Scheduled page on the Outreach > Your Emails tab. This page shows the scheduled send time for each email, and this is where you can open and review or cancel any message before it sends.

Adjusting or Cancelling a Scheduled Email

If you need to adjust a scheduled email’s send time or update its content, the best way to do so is by cancelling the scheduled send. This will move the email to your Drafts page, where you can make edits and reschedule it for the right time.

Let’s walk through how to take this action.  

Step 1. Open the Scheduled Page

Navigate to the Scheduled page in the Outreach > Your Emails tab and locate the email you want to cancel.

Step 2. Choose How You Want to Cancel

You can cancel a scheduled email directly from the Scheduled page, or from the email’s detail page.

  • Cancel from the Scheduled Page: Click the three-dot menu to the right of the email and select Cancel Scheduled.
  • Cancel from the Email’s Detail Page: Click the email’s row to open its detailed view, then click Cancel Send in the upper-right corner. 

Step 3. Confirm the Cancellation

A Cancel Scheduled Send popup will appear. Click Submit to confirm the action. The email will move to the Drafts page, where you can edit it and reschedule as needed


Deleting a Scheduled Email

You can remove scheduled emails individually or in bulk. Let’s take a look at both options. 

Step 1. Delete a Single Scheduled Email

To delete one scheduled email, navigate to the Scheduled page in the Outreach > Your Emails tab. Click the three-dot menu on the right side of the email’s row and select Discard Scheduled.

A confirmation popup will appear. Click Discard to complete the action.

Step 2. Delete Scheduled Emails in Bulk

To delete multiple scheduled emails at once, select the checkboxes next to each email you want to remove. Click the Actions dropdown in the upper-right corner and choose Discard Scheduled.

A confirmation popup will appear. Click Confirm to complete the action.  

💡 Note: Scheduled emails must be deleted in Signal to disappear from the Outreach tab. If you delete a scheduled email directly in your email provider (Gmail or Microsoft), it will not be removed from Signal.
