Using EverTrue's AI-Generated Emails

Note: This feature is only enabled by default if you have already opted into EverTrue AI Profile Summaries. If your organization is interested in activating this feature for your team, please have an EverTrue Owner reach out to your Customer Success Manager (CSM). Once enabled, the feature will be accessible to all users on desktop, iOS, and Android apps. 


What are EverTrue's AI-Generated Emails?

EverTrue's AI-Generated Emails take the guesswork out of crafting personalized constituent communication. This feature utilizes AI to synthesize your organization's data and generate editable email drafts for each and every prospective donor. 

Let's dive into how you can use this feature to transform the way you connect with your constituent base!

Sending an AI-Generated Email

Step 1. Click the Contact Button in a Constituent Profile

Finding EverTrue's AI-Generated Emails couldn't be easier! Simply navigate to a constituent's profile and tap the Contact [Constituent Name] button.

Step 2. Choose an Email Template

Once clicked, a popup with the constituent's various contact details will appear. Beneath Suggested Outreach, select the email template you would like to use. AI-Generated Emails offers five templated responses that correspond to common stewardship touchpoints:

  1. Congratulate on Recent Job Change
  2. Wish a Happy Birthday
  3. Request a Meeting
  4. Gift Acknowledgement
  5. Post-Meeting Follow-up

💡 Note: Every AI-Generated Email is unique! For instance, if you choose the Gift Acknowledgement template for a communication touchpoint, the language in the corresponding email body will change slightly every time this template is selected.

Step 3. Wait for Your Email to Generate

After selecting a template, the email draft will generate. This process can take upwards of 30 seconds. If you chose the incorrect template, click Back to return to all template options. 

Step 4. Choose the Email’s Tone

Customize the tone of your email using the Adjust Email Tone dropdown found at the top-left of the draft. Select from five tone options to match your communication style:  

  1. Warm and Personal: Friendly and conversational, showing genuine care for the recipient with an approachable tone. 
  2. Formal and Professional (DEFAULT): Polished and respectful, using formal language for clear, professional communication. 
  3. Friendly and Casual: Relaxed and upbeat, great for informal, approachable conversations. 
  4. Urgent and Action-Oriented: Direct and focused, encouraging timely responses without being pushy. Incorporate phrases that create a sense of time sensitivity, such as 'ASAP.' 
  5. Inspirational and Visionary: Uplifting and motivational, emphasizing positive impact and shared goals. 

If you select a tone other than the default, the draft will update to reflect your choice. To see a new version of the draft while keeping the selected tone, click the Regenerate button in the upper-right corner. 

Step 5. Select the Constituent's Email Address

If the constituent has multiple email address options imported into EverTrue, you will find these in a dropdown beneath Email Address. Once your email draft is fully generated, use this dropdown to choose the recipient's email address.

Step 6. Copy Email and Paste into Email Provider

Now it's time to move this draft out of EverTrue and into your email provider! Click Copy Email in the upper-right corner of the email draft's body and paste the text into your preferred email provider. Then, click Copy under the Email Address section and paste the constituent's email address into your email service's To field.

Step 7. Copy Subject Line and Paste into Subject Field

When the email draft is pasted into your email provider, take a moment to review the proposed subject line that appears at the top of the email's body. Edit as needed, then copy and paste it into the email's Subject field. Remove this line from the body once complete. 

Step 8. Edit Bracketed Text and Personalize Your Email

You will notice certain text in the email body is bracketed. These brackets indicate body elements in need of editing. Be sure to adjust this text when you see it!

We understand the importance of letting your personal voice shine through in prospect communication! With AI-Generated Emails, you are in the driver's seat and can customize these drafts as needed to reflect your writing style. Make any additional changes you'd like to the email so it matches your unique message. 

Step 9. Send Your Email

After editing and personalizing your email, you can send it to the constituent! When you're ready, hit Send within your email provider.
