All About: EverTrue's AI Assistant

Note: This feature is not enabled by default. If your organization is interested in activating this feature for your team, please have an EverTrue Owner reach out to your Customer Success Manager (CSM). Once enabled, the feature will be accessible to users with the EverTrue iOS app. 


What is EverTrue’s AI Assistant?

EverTrue’s AI Assistant on iOS is designed to streamline your prospecting workflows! It leverages AI to assist with two primary functions: 

  1. Create things: Use the assistant to create interactions (contact reports), tasks, meetings, and email drafts. 
  2. Answer constituent questions: Get answers and summaries about individual constituents’ data with ease. 

Whether you’re preparing for a donor meeting, following up with a constituent, or creating a task before it slips your mind, AI Assist offers an efficient way to get things done without manual data entry!   

Below, we’ll explore the AI Assistant’s capabilities in more detail and walk you through how to use this feature in your iOS app. Let’s dive in!  

Note: EverTrue’s AI Assistant is currently available only within the EverTrue iOS app. 


AI Assistant Capabilities

The AI Assistant supports your workflow by handling a variety of tasks, but there are some functionalities it doesn’t cover just yet. Below, we’ll break down what the assistant can and can't do, with examples of the types of questions it can answer–and those it cannot. 

What Can the AI Assistant Do?

Create Interactions 

EverTrue’s AI Assistant can automatically generate interactions (often called contact reports–it recognizes both terms!) based on the information you provide. It reviews the details you share and identifies which fields are required by your organization, prompting you for any missing information as needed.

When you ask the assistant to create an interaction, it will offer a preview of the report. You can chat with the assistant to refine any details, and once you’re satisfied, save the interaction with a simple confirmation.     

Notes:

  • If your organization does not allow users to add interactions in EverTrue, the AI Assistant will not be able to create interactions. However, it will be able to create EverTrue Comments and add them to a constituent’s profile.
  • If your organization limits the number of constituents that can be added to an interaction, AI Assist will adhere to this restriction when creating the interaction.
  • The AI Assistant currently assigns only you as the solicitor of interactions it creates. If you’re creating an interaction on behalf of someone else or need to add more than one solicitor, you can manually edit it after saving.  

Create Tasks and Meetings 

The AI Assistant can also generate tasks and meetings based on your input. After you provide the relevant details, it reviews the information, determines which fields to include, and offers a preview of the task or meeting for your review. You can refine the details through the assistant’s chat before saving. 

Notes:

  • Tasks are a feature of Signal by EverTrue. If your organization does not have Signal, the AI Assistant will not be able to create tasks.
  • The assistant currently cannot add meetings to an existing trip. Meetings will be created as standalone events without trip association. 
  • The AI Assistant currently links you to the tasks and meetings it creates. If you’re creating a task or meeting on behalf of someone else or need to add more than one solicitor to a meeting, you can manually edit the task or meeting after saving.   

Create Email Drafts

The AI Assistant makes it easy to generate email drafts based on your input. After you provide the details you want included, the assistant will create a draft for your review. You can chat back and forth with the assistant to refine the wording until it’s just right.

Once you’re ready, you can copy the content by press-holding and selecting Copy. From there, paste the text into your preferred email tool to send it out. 

Answer Constituent Questions 

EverTrue’s AI Assistant can help you quickly summarize or answer questions about individual constituents’ data, making it a valuable tool for assisting with meeting prep or providing donation details that you’d like to use in follow-up communication. 

The assistant’s answers are based on a subset of data available for each constituent, including both your CRM data and non-rejected EverTrue enriched data. This subset is called the AI Assistant’s Awareness Window!

Note: The AI Assistant can only summarize or answer questions for one constituent at a time. You can ask for a summary of a specific constituent’s data, but the assistant cannot provide summaries or insights across your entire constituent base.  

Below are examples of questions the AI Assistant can answer: 

  • Provide me with a summary of the data we have on [Constituent Name].
  • What is [Constituent Name]’s spouse’s name?
  • What is [Constituent Name]’s child’s name?
  • When was the last time [Constituent Name] donated to our organization? 
  • When was the last time somebody from our organization interacted with [Constituent Name]?
  • When was [Constituent Name]’s most recent gift transaction?

What Can’t the AI Assistant Do? 

While the AI Assistant offers powerful features for streamlining prospecting, there are still some tasks it cannot perform–at least not for now! These include:

  • Broader Data Insights: The AI assistant cannot summarize trends or information across your full constituent base; it can only perform actions for one constituent at a time. 
  • Lists and Criteria-Based Queries: It cannot generate lists of constituents matching specific criteria (e.g., location or assignment). 
  • Editing Existing Objects: The AI Assistant cannot edit existing tasks, meetings, interactions, or data on a constituent profile. 
  • Sending Emails: While the assistant can create drafts, it cannot send emails on your behalf. 
  • Accessing Data Outside of the Awareness Window: The AI Assistant cannot answer questions about data outside of its Awareness Window (e.g., a constituent’s cadence details).
  • Saving Conversations: Conversations with the AI Assistant are not saved for future access or reference. 

Below are examples of questions the AI Assistant cannot answer: 

  • Broader Data Insights: Is giving across my constituent base trending up or down compared to this time last year? 
  • Broader Data Insights: Who are the top 10 donors in my constituent base? 
  • Lists and Criteria-Based Queries: Which constituents are assigned to me and live within 20 miles of Boston?
  • Editing Existing Objects: Can you edit the most recent contact report on [Constituent Name]’s account for me?
  • Sending Emails: Can you send a thank-you email to [Constituent Name] about their recent donation? 
  • Accessing Data Outside of the Awareness Window: Can you tell me [Constituent Name]’s current cadence and cadence step?

Using the AI Assistant 

Step 1. Tap the AI Assistant Button

Access the AI Assistant by opening the EverTrue iOS app and tapping the AI Assistant button at the bottom-right corner. This button is visible on every page of the app. 

Step 2. Add Your Prompt 

When the Assistant Chat window opens, you can kickstart your conversation in three ways:

  1. Tap a quick-start option like Create an Interaction or Draft an Email
  2. Type or dictate (using your keyboard’s microphone) your message to request assistance with a specific constituent or to create an interaction, task, meeting, or email draft. 
  3. Tap the headphones button in the bottom-right corner to enable voice mode. This option allows you to speak with the assistant and hear its responses. 

For example, imagine you need to meet with a constituent next week for dinner. You could type:

  • I need to meet with [Constituent Name] for dinner next Friday from 6-8PM to discuss a large donation that they’d like to make before the end of the year. Can you create a meeting for me, and suggest a location near their home address where we could meet?

After entering your prompt, tap the arrow to the right of the text box to send it.

Step 2a. Add Your Prompt Using Voice Mode

Let’s take a closer look at the assistant’s voice mode. After tapping the headphones button, your Assistant Chat window will switch to voice mode, where the assistant indicates it’s listening. Simply speak your prompt aloud, and the assistant will begin generating a response once you stop speaking. 

You can also tap the screen when you’re finished speaking to signal that the assistant can start generating its response–this can be especially helpful in areas with a lot of background noise.

While in voice mode, you have additional options to manage the conversation’s flow: 

  • Pause and Stop: In the bottom-left corner, tap the pause button while speaking to pause the assistant’s listening capabilities. This button changes to a stop button if the assistant is responding–tap it if you want to step the assistant from talking. The assistant will then switch back to listening mode. 
  • Keyboard Button: In the bottom-right corner, tap the keyboard button to switch back to keyboard mode at any time during your conversation. This is helpful if you prefer to read through your prompt and the assistant’s response, which is always transcribed behind the scenes. You can easily transition between keyboard and voice mode as you see fit!     

Step 3. Review and Refine the Response

The assistant will process the information you provided, and reply with a preview of the meeting. Review its response to ensure the details are correct. If anything needs adjustment, you can chat back and forth to refine the information. 

Step 4. Save if Creating Something

Once you’re satisfied with the meeting details, tell the AI Assistant to save it. The assistant will confirm once the meeting has been successfully saved.

Step 5. Tap View References 

The assistant’s confirmation message will include a View References dropdown, allowing you to quickly access the newly-created meeting. Tap View References to open a preview of the meeting, and tap the preview details to exit the chat and be taken directly to the meeting. 

If you’d prefer to exit the chat without viewing the meeting, simply tap the X in the top-right corner. 

Using the AI Assistant makes it easy to create things (like this meeting!) without the need to manually fill out details–helping you save time and focus on building stronger relationships with your constituents.
