Modifying Collaborative Tasks

Making changes to tasks couldn't be easier! Below, we'll take a step-by-step look at how to edit and delete tasks found in both your Tasks tab and in constituent profiles. Follow along with either our video tutorial or written steps! 


Video Tutorial: Modifying Collaborative Tasks

💡 Note: While the video provides an overview of this feature, the steps outlined below are the most up-to-date. Be sure to reference the written guide for the latest instructions.


Editing and Deleting Tasks in the Tasks Tab

Step 1. Open a Task 

Begin by navigating to either the Your Tasks or Assigned By You table in your Tasks tab and clicking on the name of the task you wish to modify.

Step 2. Adjust Task Details and Save

An Edit Task popup will appear in which you can adjust any task details, including its due date. After making your changes, click Save to finalize the edits.

💡 Notes:

  • Note: If you update the Add to Calendar toggle, your updated preference will be saved for future tasks unless you adjust the toggle again.  
  • If the name you click is a cadence step, you will only be able to adjust its due date. To learn about additional actions you can take on your cadence steps, take a look at our article, Managing Your Cadences.

Step 3: Add an Existing Task to Your Calendar

If you want to add an existing task to your calendar, locate the task in either the Your Tasks or Assigned by You table and click its calendar icon found at the far right. An Add to Calendar popup will appear in which you can choose to add the task to either your Google or Microsoft calendar using the Add to Google Calendar or Add to Microsoft Calendar buttons.

💡 Note: You can add tasks to your calendar if they are assigned to you (either by yourself or by a teammate) or created by you. Consider adding tasks you’ve assigned to your team to your calendar as well to help support collaboration in completing the task! 

Select the option matching the calendar your organization uses. A new tab will open with a pre-drafted event in your chosen calendar. The draft will include Task Name, Due Date, and Description (if added) details. The event’s time will default to All day, but you can adjust this and any other details as needed.

When you’re ready, click Save to finish adding the task to your calendar!

💡 Note: When adjusting an existing task’s details, the corresponding calendar event will not automatically update to reflect the changes. We recommend either re-adding the task to your calendar and removing the previous event, or manually editing the calendar event to match the updated task details!

Step 4. Delete a Task  

If you need to delete a task, locate the task in the Your Tasks table and click its trashcan icon found at the far right. A Delete Task popup will appear, prompting you to confirm that you would like to remove the task by clicking Delete

💡 Note: You can only delete tasks that are assigned to you (either by yourself, or by a teammate), limiting this action to the Your Tasks table.


Editing and Deleting Tasks in a Constituent Profile

Modifying tasks in a constituent profile mirrors the process followed in the Tasks tab! Let's take a look at modifying in this location. 

Step 1. Open a Task

Begin by navigating to a constituent profile's Tasks tab and clicking the name of the task you wish to modify.

Note: You can only edit tasks that are assigned to you or created by you. Tasks created by others on your team that are not assigned to you can still be opened, but you will not be able to edit them. 

Step 2. Adjust Task Details and Save

An Edit Task popup will appear in which you can adjust any task details, including its due date. After making your changes, click Save to finalize the edits.

💡 Notes: 

  • If you update the Add to Calendar toggle, your updated preference will be saved for future tasks unless you adjust the toggle again.  
  • If the name you click is a cadence step, you will only be able to adjust its due date. To learn about additional actions you can take on your cadence steps, take a look at our article, Managing Your Cadences.

💡 Note: You can only add tasks to your calendar if they are assigned to you or created by you. The calendar icon will be disabled for tasks that do not meet these criteria.

When you’re ready, click Save to finish adding the task to your calendar!

Step 4. Delete a Task

If you need to delete a task, locate the task in the table and click its trashcan icon found at the far right. A Delete Task popup will appear, prompting you to confirm that you would like to remove the task by clicking Delete.

💡 Note: You can only delete tasks that are assigned to you (either by yourself, or by a teammate), limiting this action to tasks for which you are listed as the Assignee


Pausing Your Tasks

Taking time off, or have a busier-than-usual schedule? You can pause tasks assigned to you so they do not become overdue! 

💡 Note: Task due dates are automatically adjusted to avoid weekends and U.S. federal holidays. You won’t need to manually set pauses for these dates, as tasks will not be scheduled.

Step 1. Click the Tasks Tab’s Settings Icon

Navigate to your Tasks tab and click the settings gear icon in the upper-right corner to be taken to your EverTrue Settings page. Alternatively, you can access this by opening your User Menu dropdown in the top-right corner of the platform and selecting Settings.

Step 2. Set Your Pause

Next, click the Pause Cadences and Tasks settings tab. Use the Start Date calendar selector to choose the first day you’ll be out of office, and the Return Date calendar selector to indicate when you will return. Once you’re ready to set your pause, click Save.

💡 Note: When pausing your tasks, you must enter a return date that is at least one day later than the start date. Single day pauses are not possible.

Step 3. Review Your Pause

On the start date of your pause, a banner indicating your away time will appear at the top of the Your Tasks table in your Tasks tab. It will also appear at the top of all constituent profile Tasks tabs. 

If you need to end a pause earlier than expected, click Resume Cadences and Tasks at the right side of the banner. To adjust the dates of the pause, click Edit Pause. You’ll also have the ability to cancel a pause by navigating back to your Cadences and Tasks settings tab and clicking Resume Cadences and Tasks

When you pause your tasks, their due dates will be rescheduled to accommodate your time away. This logic will be followed for tasks due both during and after your pause window. For example, a task due two days after you start a pause will be due two days after your pause reaches its end. Once you return, your tasks will reactivate starting with those due that day.

💡 Note: Tasks are not rescheduled to be due on weekends or U.S. federal holidays. For example, if a rescheduled due date falls on a Saturday, it will be pushed to Monday.
