Updating Your Constituent File for Next Fiscal Year Giving

With each turn of the fiscal year, it's time to make sure your institution's fiscal year giving data is up-to-date in EverTrue. The EverTrue platform works best for you and your organization when the data it runs on is up-to-date, accurate, and complete. We know how important it is for your users to have up-to-date information during FY planning.

Using Console to Update Your Fiscal Year Giving

Take a look at our video showcasing how you can upload your upcoming fiscal year's data into EverTrue using Console's importer. The video was last updated for FY '22, but the same steps apply to future years.

You can also take a look at our guide to help you make the transition. Though it is a few years old, the information will still be applicable. 

As you tackle your FY mapping, keep the following scenarios in mind:

  • Do I need to adjust Giving Categories and Gift Transactions? Giving categories use relative giving total headers (e.g. GivCat1TotalFY1 or GivCat1CurrentYr), so if you mimic that in your header naming you won't have to remap your data. Just make sure that your Current Year headers are calculated to include current fiscal year data for that giving category. If your organization is importing categorized giving and your column headers include years (rather than relative years), you will be required to update your mapping. Gift transactions do not require any adjustment at this time. Learn more about giving categories and gift transactions in EverTrue.
  • If I am sending relative years for both total giving as well as categorized giving, does my query need to change? Your query does not have to change in this case, but we do need you to map the file under the Total Giving section. For categorized giving, we can accept relative years because the Categorized Giving section will turn over the mapping automatically if relative headers are used. The Total Giving section of the Console importer does not turn over the mapping automatically even if relative year headers are used in the file, so you must go in and map the file.

As you tackle your FY mapping, keep the following scenario in mind:

  • Do I need to adjust Giving Categories and Gift Transactions? Giving categories use relative giving total headers (e.g. GivCat1TotalFY1 or GivCat1CurrentYr), so if you mimic that in your header naming you won't have to remap your data. Just make sure that your Current Year headers are calculated to include current fiscal year data for that giving category. If your organization is importing categorized giving and your column headers include years (rather than relative years), you will be required to update your mapping. As you complete your mapping, also keep in mind that the Data Manager's Annual Gift Totals section found beneath Total Giving has a wider range of gift total years. This range starts with 1970 and goes up to 2030.
