Exporting Interactions

If your organization is using EverTrue's Interaction Form, you have the ability to export interactions written in the EverTrue platform both manually or by using scheduled exports. Take a look at both how to export interactions and how your export will be formatted below! 


Exporting Interactions Manually

To get started with manually exporting your interactions, head to the Settings tab underneath your name found on the top-right side in EverTrue. Click into your Export Data tab and find the Interactions file under Scheduled Exports. Click on the paper icon found at the right-hand side of the page, and choose a timeframe for your manual export.


Editing Your Interaction Export Schedule

If you need to make changes to your scheduled interactions export, head to the Settings tab underneath your name found on the top-right side in EverTrue. Click into your Export Data tab and find the Interactions file under Scheduled Exports. Click on the gear icon found at the right-hand side of the page, and make adjustments to your export schedule as needed.


Understanding Export Format

Whether you are manually pulling exports or using scheduled exports, your interactions will be exported as CSV files and will have the same formatting. A sample of what this file will look like can be found here. Please note that your export format may differ from the example based on the settings enabled for your institution. The naming convention for your exports will be as follows: evertrue_export_interactions_yyyy-mm-dd.csv.

For your institution's exact interactions CSV format, consider pulling a manual export from EverTrue directly. Note that if your interaction entry form changes, this may impact your CSV export format.  In the event that EverTrue needs to update the interaction CSV format, we will notify the data contact(s) at your institution, knowing that your script may rely on the consistency of this format. 

Defining Common Export Fields

  • InteractionImportId: The ID your database uses for the imported interaction.
  • InteractionEverTrueId: The ID EverTrue uses to recognizes the interaction. This value is important for you to retain in your database if you are using a round-trip interactions import process.  
  • ConstituentImportId: The ID your database uses for the constituent with which the interact is associated. 
  • ConstituentEverTrueId: The ID EverTrue uses for the constituent. You do not need to retain this ID in your database.
  • Category: The overarching category for the InteractionType. This value is assigned by EverTrue and is not important for you to retain.
  • InteractionType: The type of interaction selected by your users when writing interactions in EverTrue.
  • CreatorUserImportId: The ID your database uses for the user who created the interaction.
  • CreatorUserEverTrueId: The ID EverTrue uses for the user who created the interaction.
  • ProposalImportedId: The ID your databases uses to identify a proposal linked to an interaction. This will be blank if the interaction is not logged on a proposal.
  • ProposalEverTrueId: The ID EverTrue uses to identify a proposal linked to an interaction. This will be blank if the interaction is not logged on a proposal. You do not need to retain this ID for your database. 
  • DateOccurred: The date the interaction took place. 
  • Solicitor1ImportId: The ID your database uses for the interaction solicitor. The number of solicitors allowed to get credit for each interaction is set during the interaction form creation process. This value (max number of solicitors) will reflect in the CSV export file and create a static set of columns. If no max number is set, the number of solicitor columns in your export may vary.

Note: When adding multiple solicitors to an interaction, they will appear in the order in which they were selected. If you are the writer of the interaction, you will be automatically assigned as its main solicitor, and your ID will be listed in the first solicitor export column. If you are adding an interaction on behalf of someone else and do not want to be listed as the main solicitor, you will need to uncheck your name from the interaction form and select the name of the main solicitor. Then, you can select the remaining solicitors in the order they should appear in the export.

  • Solicitor1EverTrueID: The ID EverTrue uses for the solicitor. You do not need to retain this ID in your database.
  • New Ask Date: The date the ask is/will be made if changed from an initial date.
  • Purpose: The purpose of the interaction.
  • Substantive: The indication of whether or not an interaction was flagged as important.
