Collaborating on Trips

Adding Collaborators

Adding collaborators to your trips is a great way to share direct access to trip details, events, and editing abilities with your co-workers! For example, you might be planning a trip for a gift officer you support. Being included as a collaborator in this situation is a helpful way to have permission to edit the entire trip on their behalf.  EverTrue users listed as trip collaborators will have all of the permissions of the original trip owner, including editing trip details, adding additional collaborators, and deleting the trip.

If creating a new trip, you can add collaborators directly in the Create Trip pop-up box after entering the trip title and travel dates. You will have the option to send added collaborators an email notification about the trip and can include a friendly note before clicking Create

If you've already created a trip and are in the process of building out your trip details, you can add collaborators at any time by heading to your Trips & Meetings tab in the left-hand navigation bar and opening the relevant trip. From within your trip view, click the people icon in the upper-right corner to add collaborators.

Collaborators' avatars will then be shown near the top of your trip. Once added as a collaborator, your co-workers will see the trip in their own Trips & Meetings tab and will have all of the trip events in their calendar feed if synced.

Removing Collaborator

If you need to remove a collaborator from a trip, head back to your Trips & Meetings tab in the left-hand navigation bar and open the relevant trip. From within your trip view, click the people icon in the upper-right corner to open your Manage Collaborators pop-up box. Use the dropdown to search by name or scroll for current collaborators you wish to remove and uncheck the box beside their names. Be sure to hit Save to officially remove them from your trip.

Understanding Collaborator Permissions

Trip collaborators have the following permissions:

  • Add and edit trip details and events.
  • Add and remove additional collaborators.
  • Delete a trip.
  • Remove themselves from the trip, after which the trip will be removed from their Trips & Meetings tab.

Please note trip collaborators cannot remove the trip owner as a collaborator. Additionally, trip owners cannot remove themselves as a collaborator.
