Volunteer Assignments Export
Whether you simply want a file of all of your volunteers, prospects, assignments and pools, or you are doing daily or weekly tracking of Volunteer activity, you can easily export all of your Volunteer Assignments from EverTrue!
How to Export Volunteer Assignments
- Open your user menu in the upper-right corner, and go to "Settings."
- Go to the "Export Data" tab, where you'll find the Volunteer Assignments export
- From here, you can choose to run a manual export and select your timeframe, or if you have SFTP set up, you schedule a daily export.
Once exported, you can look at the last three columns in that export: "LastUpdatedBy", "
Your Volunteer Assignments will be exported as a standard CSV file. A sample file can be found here. Please note that your export format may differ based on the settings enabled for your institution.
Definitions for Commonly Asked About Fields
Pool Name - This is the name given to the pool, either through your import file's Pool Name field, or if created manually, what is entered into the Pool Name field.
PoolEverTrueID - Each pool with have a unique PoolEverTrueID, which we use to identify pools. This is not important for you to retain. EverTrue Trick: quickly access a pool by entering the PoolEverTrueID at the end of the URL "https://app.evertrue.com/volunteers/pool/(PoolEverTrueID)"
ProspectRemoteID - This is your ID for the prospect.
ProspectEverTrueID - This is EverTrue's internal ID for your prospect. This is not important for you to retain.
ProspectName - First name + last name of the prospect, as it appears on their constituent record.
ProspectMaidenName - Maiden name of prospect - will appear if maiden name is imported to the constituent record.
ProspectNickName - Nick name of prospect - will appear if nick name is imported to the constituent record.
KeyProspect - This is a boolean field, with a 0 indicating the constituent has not been marked as a Key Prospect, and a 1 indicating the constituent has been marked as a Key Prospect.
SolicitorRemoteID - This is your ID for the Volunteer assigned to the prospect. Please note, this field will be blank for any prospect who is unassigned at the time of export.
SolicitorEverTrueID - This is EverTrue's internal ID for your solicitor. This is not important for you to retain.
Solicitor Role - This is the role given to the solicitor. Please note, Volunteer Lead is only available for school's that have Head Agent enabled. A solicitor can only have 1 role per pool, but can have different roles in different pools.
SolicitorConstituentName - First name + last name of the solicitor, as it appears on their constituent record.
SolicitorConstituentMaidenName - Maiden name of solicitor - will appear if maiden name is imported to solicitor's constituent record.
SolicitorConstituentNickName - Nick name of solicitor- will appear if nick name is imported to the solicitor's constituent record.
SolicitorConstituentPrimaryEmail - Primary email of solicitor - will appear if the solicitor's constituent record has an imported email address that is tagged as Primary.
SolicitorUserName - This is the solicitor's name as it appears on their user entity.
SolicitorUserEmail - This is the email address the solicitor is using to log in.
AssignmentRemoteID - This is your ID used to identify the relationship between Prospect and Solicitor in a specific pool. This field will be blank unless you are including AssignmentRemoteID's in your Volunteer Assignment Import File.
Stage - The selected stage of where in the process a prospect is. If you are not using stages, this field will be blank. Stages can be updated via the Volunteer Assignments import file, manually in EverTrue platform, or if allowing Volunteers to select stages. through volunteer.evertrue.com.
AskAmount - The suggested dollar ask amount for the prospect. Please note, this will only be included if your institution has Ask Amounts enabled.
CommittedAmount - The dollar value amount a prospect has committed to give. Please note, this will only be included if your institution has Committed Amounts enabled.
LastUpdatedUTC - This timestamp, shown in Coordinated Universal Time (UTC), shows the last date and time that a change was made to the assignment. This could be a change to the solicitor, a change to stage, ask amount or committed amount.
